Visualization Business Technologies Processes

Background

Business are experiencing an ever-increasing reliance on information technology of all types to handle and optimize their business processes. Connecting the processes of procurement, provisioning, deployment, support and retirement of technology is becoming more complex.


Challenge

The Pfizer Business Technology team manages business technologies in enterprise. They are technology subject matter experts, who are called upon to “recommend the right solution to the right problem.” They found that Pfizer's business technology processes occurred in silos across teams. The group as a whole did not have a full understanding of the scope of the work they oversaw and how it connected. Working in their own subsets led to missed steps, inefficient hand-off and redundancies. The team understood that they needed to take a high level view of their process.


Process

Phi Services was called in to support the Pfizer Business Technology team with the collaborative technology on site. In advance of the first visit, Phi Services scheduled a call to conduct a formal needs assessment. Goals were identified, collaborative use case determined. For this group, it became clear that being able to conduct a full audit, identify pain points, and address areas for improvement was essential. Visualizing the full process and breaking it down into its component parts through flow charting made sense.

SMART Boards had already been brought on site to pilot. The team had been tasked with learning the technology, identifying use cases, and rolling it out to users. Phi Services was called in for their expertise with SMART. Frequently we see our role as educating key users. While on site, we recommended SMART kapp for the general population who may be a bit change adverse. kapp is a simple, walk up and use, digital whiteboard. We walked the space and concurred that it should be located in an informal, public areas where groups congregated through the day. The result is that is has been used endlessly and became a simple, inexpensive, value add.

Results

Phi Services came on site with a interactive strategy to introduce the group to their SMART Solution and how it would work best for them. The unbound whiteboard feature in Meeting Pro was optimal. Studies demonstrate that visualization is most successful in an unconstrained environment. Phi Services led the group to uncover how to best use the software to create flow charts that represented processes for each step in their workflow. What followed was 4 days of mapping everything they did. The result exceeded expectations. In addition to clearly visualizing and connecting all stages, as a group they identified areas to augment and improve.
